Calls ring out after hours and on busy lines
Lunch breaks, evenings, a front desk busy with the customer at the counter: the phone rings until it stops. A missed call leaves no record of who called or what they wanted.
AI Phone Answering
TriloAI's AI Phone Answering is a 24/7 voice assistant that picks up your business line, works out what the caller needs, books, reschedules or cancels appointments, sends reminders and logs every call. It is built for small businesses that take bookings by phone, such as clinics, gyms and salons.

When it fits
Lunch breaks, evenings, a front desk busy with the customer at the counter: the phone rings until it stops. A missed call leaves no record of who called or what they wanted.
Hours, address, prices, can I move my appointment. Your staff answers them again and again while the person in front of them waits.
A time agreed on the phone still has to be typed into the system by hand. On a busy day, changes get missed or double-booked.
How it works
The AI answers, understands the caller wants to reschedule, verifies identity, offers open slots, updates the calendar and texts a confirmation. Medical questions, complaints or unclear calls go to staff.

What it does
Picks up after hours, at lunch, and when every line is busy, and answers questions about hours, location, and services from content you've approved.
No press-1 menus. Callers say what they need, and the assistant tells whether it's a new booking, a change, a cancellation, or a question. Other languages such as Chinese or Japanese can be set up too.
Checks open slots, verifies the caller, and saves the appointment to your calendar or booking system. If an existing booking has a special note, it leaves the booking as is and lets you know.
Sends a confirmation when the booking is made and a reminder the day before, by SMS, email, or WhatsApp.
When it can't understand, the caller asks for someone, or a complaint or refund comes up, it transfers the call with a summary so nobody has to repeat themselves. After hours it takes a message and alerts you to call back.
Every call leaves a transcript, the reason for the call, and the outcome, and can be saved to your CRM. You can see call volume, calls the AI completed, and calls it couldn't handle.
Use cases
These are demonstrations, not client case studies.
Calls at lunch and after closing go unanswered, and most are about hours, new appointments, or moving an existing one.
The assistant answers hours and location questions, and books, reschedules, or cancels appointments in your scheduling system. Any medical, medication, or test-result question is transferred to the clinic or left as a callback message; the AI never answers it.
What we track
Coaches are on the floor and the front desk is checking people in, so trial-class inquiries and member reschedules go unanswered.
The assistant explains the trial class and open times, takes the caller's name and number, books the slot, and sends a reminder the day before. Price negotiation, refunds, and health concerns go to the front desk.
What we track
On weekends every stylist has a client in the chair, and nobody can step away to answer the phone.
The assistant checks openings by service and preferred stylist, books or moves the appointment, and texts a confirmation. Services that need a consultation first, price questions, and complaints go to the manager.
What we track
Process
In an online session we map your most common calls, how they're handled today, and what you want to keep handling yourselves.
We design the flows for new bookings, changes, cancellations, common questions, and transfers, and write down what the AI will not handle.
We connect the phone line, booking system, calendar, CRM, and reminders. If a connection drops during a call, the call is transferred or taken as a message.
Using the way your callers actually talk, we test whether it understands them, transfers smoothly, and saves bookings correctly. You can start with the AI answering only after hours or on busy lines, then widen it once it's stable.
After launch we review call records and the calls it couldn't handle, and update its answers and wording.

Pricing
Quotes depend on how many systems are connected (phone line, booking system, calendar, CRM, reminders), how complex the call flows and transfer rules are, expected call and AI usage, and how much ongoing maintenance you want, such as monitoring and answer updates. Phone carrier, voice platform, and AI model fees are charged at actual usage with no markup, and no per-minute price is assumed. The build fee can be split into 2–3 installments.

Security
We request only the accounts, permissions and fields the workflow needs.
Medical, refund, pricing and contract decisions always go to a human review queue.
Each item keeps its source, status and write-back result so it can be traced.
Normal and failure cases run on test accounts; production starts after your sign-off.
Scope, data use and retention go into the contract; an NDA can come first.
Process maps, field mappings and runbooks are delivered so your team can take over.
FAQ
It answers calls, responds to common questions from content you approve, and handles new bookings, reschedules, cancellations, and reminders. Medical questions, refunds, price negotiation, and complaints are transferred instead. Every call is logged.
Yes. We recommend opening every call by saying it's an AI assistant and that the caller can ask to be transferred at any time. Outbound reminder or follow-up calls should also say it's an AI at the start and let people opt out, and because disclosure and call-recording rules vary by state and country, the greeting is set for where you operate.
Transfer rules are set during design, for example repeated misunderstandings, a request for someone, or a complaint or refund. When one is met, the call is transferred with a summary. If no one is available, the assistant takes a message and alerts you by SMS or email to call back.
English and Mandarin Chinese are the main setups, and other languages such as Japanese can be configured. Before launch we test with the phrasing and accents your callers actually use. Anything it can't understand is transferred.
It can handle hours, location, booking, rescheduling, and cancellations. Any medical, medication, or test-result question goes to the clinic; the AI does not answer or advise. For US clinics, HIPAA applies, so a signed Business Associate Agreement must be in place with each vendor that handles patient information before launch, and we check this during the consultation.
Systems that let other software connect to them, such as Google Calendar, Microsoft 365 Calendar, Calendly, SimplyBook.me, and HubSpot, can be connected. For an in-house system it depends on whether it offers a way to connect or a database we can save to, which we confirm in the consultation.
Not necessarily. A common setup keeps your current number and forwards calls to the AI after hours or when the line is busy; you can also get a new number. What works depends on your current phone service and carrier, which we confirm in the consultation.

Typically 8–12 weeks in phases: call review, conversation design, phone and system connection, testing, and launch. It takes this long because call forwarding has to be set up with your carrier, some steps wait on third-party approvals, and we test with the phrasing and accents your callers actually use before launch. Your booking or CRM setup also affects timing. If SMS reminders to US numbers are included, A2P 10DLC registration typically takes 2–4 weeks.
Each call leaves a transcript and an outcome that can be saved to your CRM. The voice platform and AI models are cloud services, so call audio passes through them. We walk you through where the data goes during the consultation and agree on what is kept and for how long.
In a free 30-minute consultation we go through your calls together: which ones AI can handle, which you'd rather keep answering yourselves, and a realistic cost range. You can also email service@triloai.org.
