How is AI automation priced? Three plans and when each fits

Automation quotes are hard to compare because every provider scopes them differently. TriloAI does not publish prices for any plan; every project is quoted to your needs after a free 30-minute consultation. This guide sets out the fit, launch timeline and maintenance approach for all three plans, and explains what affects the quote. TriloAI delivers the full chain — scoping, design, build and post-launch maintenance — mainly on n8n, with simple workflows live in 1–2 weeks.

How AI automation is quoted

Every project is quoted to your needs: a free 30-minute consultation comes first, then a quote based on the number of workflows, systems to integrate and maintenance scope, with monthly maintenance quoted separately.

Which plan fits depends on how many workflows are involved, how many systems must be integrated, and whether a custom interface is required. The three sections below give the scope, timelines and fit for each plan.

Who Starter Automation is for, and how it is quoted

Starter Automation is live in 1–2 weeks and quoted to your needs, with maintenance quoted per project — right for automating one or two clearly defined workflows.

When it fits: the workflow is already well understood, few systems are involved, and you want one workflow to prove the return before expanding. Common starting points are automated customer replies, inbound form capture, and recurring report assembly and delivery.

How it is delivered: scope the workflow and its exceptions, build and test it, then move it onto a monthly retainer covering monitoring and error handling.

Who Business Integration is for, and how it is quoted

Business Integration is live in 3–6 weeks and quoted to your needs, with maintenance quoted per project — right for multi-system and cross-team workflows.

When it fits: data moves between CRM, ERP and messaging channels, several teams and roles are involved, field mapping and permissions need design, and the cost of an error is high.

How it is delivered: a system inventory confirms how each system can be integrated, then the build ships in stages with acceptance at each one, so nothing goes live all at once.

Who Full AI Operation is for, and how it is quoted

Full AI Operation is quoted to your needs and suits companies handing several core workflows to AI and automation at once, with ongoing maintenance built in.

When it fits: automation is no longer a single experiment but a long-term handover of several core operations, requiring full process design, cross-system integration and continuous tuning.

How it is delivered: scope is split into stages with measurable acceptance criteria at each one, and maintenance is quoted against actual coverage.

What affects the quote

Five factors drive the quote: workflow complexity, how many systems are integrated, whether a custom interface is needed, data volume, and maintenance scope.

When two providers quote wildly different numbers for the same sentence of requirements, it is usually these five items being read differently. Spell all five out in your RFP and the responses become comparable.

  • Workflow complexity: more branches and exceptions mean more design and testing hours.
  • Number of systems: each additional system adds field mapping, validation and error handling.
  • Custom interface: an admin or operator UI costs more than a pure background workflow.
  • Data volume: high frequency and large volumes affect architecture and server sizing.
  • Maintenance scope: monitoring only, versus ongoing tuning and new workflows, changes the monthly fee significantly.

What happens in the free 30-minute consultation?

The free 30-minute consultation maps one or two workflows and gives a rough cost range and timeline, with no sales pressure and no documents to prepare beforehand.

It runs as an online call. You describe which part of your operation eats the most time, and we work backwards to a feasible approach, an approximate cost range and a launch timeline.

If automation is not the right answer, or wiring it yourself in an off-the-shelf SaaS tool is cheaper, we say so. The reasoning matches our guide on building in-house versus hiring a consultant versus using SaaS.

How do payment and invoicing work?

Quotes are issued in USD with multi-currency accepted, payable by Stripe, international wire or Wise, and a formal English invoice is provided.

TriloAI LLC is registered in the United States, so the record you receive after payment is an English invoice.

If your internal accounting requires a specific document format, raise it during quoting so we can confirm what can be provided.
