TriloAI

AI automation for SMEs

AI automation for Taiwan SMEs that starts with your most time-consuming workflow

TriloAI helps small and mid-sized businesses in Taiwan with no IT team, or a very small one, hand repetitive work to AI and automation. We start with the one workflow that takes the most time and use n8n and AI to connect the LINE Official Account, forms, CRM, ERP and spreadsheets you already have, so the main path runs on its own and exceptions go to a person; a single workflow usually launches in 1–2 weeks and cross-system integration in 3–6 weeks. We work remotely across Taiwan, pricing is scoped to your needs, and you can start with a free 30-minute consultation.

When it fits

Sound familiar

The same data typed into system after system

A customer orders on LINE, sales copies it into Excel, accounting types it into the ERP, and the warehouse works from yet another sheet. Every copy is another chance for a mistake, and it often shows up only at month-end reconciliation.

Messages and leads slip through unnoticed

LINE, phone, email and website forms each have someone watching, and often nobody is. A customer asks for a price or a quote and waits days for a reply, or never gets one, and there's no record of who should reply or whether they did.

You want to use AI but don't know where to start

ChatGPT looks handy, but you can't tell which of your processes it suits. You also worry about AI giving wrong answers, changing data it shouldn't, or sending customer data where it shouldn't go.

How it works

From scattered store data to a daily report

Every day the workflow pulls orders and store reports, puts them into one format, saves the rows that pass checks, sends only the few problem rows to a person, then produces the report and notifies the team.

What it does

What you get

Pick the first workflow

We list the work your team repeats every day and every week, then pick the one that takes the most time, follows the clearest rules and hurts the most when it goes wrong. We get that one right first and add the next once it runs smoothly, so nothing has to be replaced all at once.

Connected systems so data is entered once

n8n (an integration tool) links LINE, forms, email, your CRM, ERP and spreadsheets. Data comes in once and is saved where it belongs in one consistent format, noting where it came from. We connect from the outside and leave your ERP itself untouched.

AI that reads documents and emails

OpenAI, Claude or Gemini read emails, PDFs, quotes and orders and pull out fields such as customer name, item, quantity and date, then save them to your systems. Anything the AI is unsure about, or that is missing data, waits on a list for a person instead of being saved.

LINE and phone customer service

AI on your LINE Official Account answers common questions from information you've approved and collects requests; AI phone answering picks up when lines are busy or after hours and notes what the caller needs. Anything it can't handle goes to a person, and the conversation is saved to your system.

Sales follow-up and reminders

New leads are assigned by rules you set, and reps get a reminder when follow-up is due. Automated LINE follow-ups go only to people who added you as a friend, with a cap on how often messages go out and a way to opt out; they stop as soon as the contact replies so a rep can take over.

Reports and exception alerts

On a set schedule, numbers are pulled from each system into a Google Sheets or Looker Studio report. When data is missing, doesn't match or a workflow fails, the owner is alerted by email, LINE or Slack.

Projects

Systems we built and run ourselves

Live

Member health AI for a gym

Built for a gym and maintained by TriloAI. Members upload blood test reports and AI reads them and pulls out the key points; body composition scans from Visbody machines flow into the system automatically; an AI assistant answers diet and exercise questions from each member's own data.

  • Scan data reaches the system with no manual entry
  • On the admin side, job role and branch decide who can see what
  • Built with OpenAI, Supabase and the Visbody Cloud API
Runs daily

Taiwan active ETF daily holdings report

Every trading day at 6:00 p.m. Taiwan time, it pulls data from the Taiwan Stock Exchange and each fund company's website and builds an Excel file and a web report. It compares against the day before to flag holdings that went up, went down, were newly bought or were sold off entirely, then sends the highlights to LINE.

  • Produced every day with no manual work
  • The same approach can produce your own daily reports
  • A data tool, not investment advice
Internal tool

Stock research report system

Enter a ticker and the system pulls price and financial statement data, then runs 12 analysis methods to produce a PDF research report. AI can also add a written investment view.

  • One input produces a PDF report that is ready to read
  • The same approach can turn your company's data into a standard report
  • A research tool, not investment advice

Use cases

Six departments and what each can automate first

Every department in the same company repeats different work. These are common starting points for each, shown as demonstrations, not client case studies.

Sales

Inquiries come in by LINE, email and phone, and reps track quotes in Excel. To find out which quotes are stuck, the owner has to ask each rep.

Inquiries are saved to the CRM automatically, and quotes are generated from a fixed template with every version kept. Reps get a reminder when a quote goes unanswered past the agreed date, and managers see where every quote stands on one screen.

What we track

  • Stage and owner of every quote
  • Time between sending a quote and the buyer's reply
  • Quotes overdue for follow-up
Customer service

The same questions about hours, prices and shipping status come in many times a day. Support jumps between LINE, phone and email, and after-hours messages wait until the next day.

AI on your LINE Official Account answers common questions from information you've approved, and AI phone answering picks up when lines are busy or after hours and notes what the caller needs. Emails are sorted and drafted by AI and sent only after support checks them; anything the AI can't handle goes to a person with the conversation attached.

What we track

  • Share answered by AI vs. passed to a person
  • Wait time before the first reply
  • Reasons for passing to a person
Admin and finance

Expense claims, invoices and receipts travel by email, LINE and paper, and nobody knows whose desk an approval is stuck on. At month-end someone matches invoices against bank statements line by line, which takes a long time.

Claims and approvals move to an online form that routes each one to the right approver by amount or department, with reminders when they're overdue. AI reads invoices and receipts, pulls out the date, amount and business tax ID, and builds a reconciliation sheet; anything that doesn't match is listed for your accountant to confirm.

What we track

  • Where each claim is waiting for approval
  • Fields the AI got wrong and a person corrected
  • Mismatched items waiting for the accountant
Operations and production

Stock lives in the ERP and store or shipping reports live in spreadsheets. Every week someone exports, tidies and pastes them into one report for the manager, and when that person is out, the report stops.

On a set schedule, numbers are pulled from the ERP and spreadsheets into a report in a fixed format and sent by LINE or email. When stock drops below the level you set, or the two sources disagree, the owner gets a separate alert.

What we track

  • Whether each report went out on time
  • Items below the level you set
  • Records where the ERP and spreadsheets disagree
HR

Leave requests go to managers over LINE, and HR copies them into a spreadsheet by hand. New hires' paperwork gets chased one document at a time.

Leave requests move to an online form that goes to the manager for approval, then into the attendance sheet with a notice to HR. New hires automatically get a checklist of documents to prepare, with reminders before the due date for anything missing; personal data such as ID cards and bank details is stored only where you specify and is not sent to AI.

What we track

  • Approval status of each leave request
  • Documents new hires still owe
  • Sent and failed reminders
Marketing

Leads from ads, website forms and event sign-ups sit in several places and reach the CRM only after someone tidies them up. By the time anyone gets in touch, the contact may have forgotten about you.

New leads are saved to the CRM automatically with the ad or event they came from, then assigned to reps by your rules. Event sign-ups get a confirmation and a reminder before the day; LINE reminders go only to people who added you as a friend, with a way to opt out.

What we track

  • Source and owner of every lead
  • Time from a lead coming in to first contact
  • Sign-ups, confirmations and attendance per event

Process

From first call to launch

  1. 01

    Free 30-minute consultation

A 30-minute video call. Bring the way you work today, such as a form, a spreadsheet or a LINE conversation, and we'll look at which repetitive tasks take the most time.

  2. 02

Review processes and pick the first

We write down where each workflow starts and ends, which systems it touches and which steps need a person's OK. We start with the most time-consuming one with the clearest rules, then quote by scope.

  3. 03

Build and test with real data

Workflows run on n8n, either its cloud service, a cloud server you approve or your own server, depending on your data rules. We run normal and special cases with samples of your real data in a test setup before connecting your live systems.

  4. 04

    Launch and handover

Launch includes 30 days of adjustments and written instructions. We show your team how to change simple settings, such as recipients or reminder intervals, on screen.

  5. 05

    Maintenance and the next workflow

Optional monthly maintenance covers error monitoring, upgrades and workflow changes. Once the first workflow runs smoothly, we pick the next one together.

Pricing

How pricing works

Quotes depend on how many systems and workflows are involved, how complex the rules are, expected AI usage and how much ongoing maintenance you want. Third-party usage such as AI models and LINE messages is charged at actual usage with no markup, and monthly maintenance is optional.

FAQ

Common questions

We don't have engineers. Can we still use this?+

Yes. TriloAI handles the build, testing, server updates and troubleshooting, and you only need one person who knows the process. We also show your team how to change simple settings, such as recipients or reminder intervals, on screen.

Which workflow should we start with?+

Start with one that repeats every day or every week, follows fixed rules and is a pain when it goes wrong. Common starting points are data copied into several systems, quotes and leads nobody follows up on, and weekly reports someone has to piece together. If a process is done differently every time and nobody can describe the steps yet, it isn't ready to automate. We pick the first one together in the free 30-minute consultation.

How long does it take to launch?+

A single workflow usually takes 1–2 weeks and cross-system integration usually 3–6 weeks. Projects with AI agents (AI that carries out tasks with your tools) across several systems are usually rolled out in phases over 6–12 weeks. Timing depends on the number of systems, how tidy the data is and how many approval steps you want; adding LINE AI customer service or AI phone answering is estimated separately.

Which systems can you connect?+

We can look at LINE Official Account, Gmail, Outlook, Google Forms and Sheets, CRMs such as HubSpot, Pipedrive, Vital CRM and Zoho, and ERPs such as SAP Business One, Odoo, Digiwin and Microsoft Dynamics. If a system can be connected from outside, offers database access or exports a consistent file, it can usually be linked without changing the ERP itself. We confirm the method in the free 30-minute consultation.

Will the AI act on its own?+

The AI can only read data you approve and use tools on a set list. Sending email, changing orders or editing live records can be set to wait for your OK, and every action is logged. Items the AI is unsure about, or that are missing data, go to a list waiting for a person instead of being saved.

What happens when something goes wrong?+

Key workflows retry automatically. If one still fails, the owner gets an email, LINE or Slack alert, and the failed record stays on a pending list so it can be fixed and rerun instead of disappearing.

Where is our data stored, and will it be used to train AI?+

Workflows can run on n8n's cloud service, a cloud server you approve or your own server, depending on your data rules. AI providers' training terms differ by provider and by plan, so we review them with you before choosing a model and avoid sending personal data the task doesn't need.

We already use Zapier or Make. Do we need to switch?+

Not necessarily. With few workflows and low volume, staying on Zapier or Make is often simpler; n8n makes more sense when volume is high, you need custom code, or data must stay on your own server. We review your existing workflows before recommending a move.

Can you promise how much staff time we'll save?+

No. Every company's processes, data and special cases are different, so the savings can only be measured once the work is running, and nobody can promise a number in advance. Before launch we record how many hours a week the work takes, how many errors happen and how long replies take; after launch we measure the same way and tell you the difference as it is.

How is pricing worked out?+

Pricing is scoped to your needs, and you get a quote after the free 30-minute consultation. The quote depends on the number of systems and workflows, how complex the rules are, expected AI usage and how much ongoing maintenance you want. Third-party usage such as AI models and LINE messages is charged at actual usage with no markup, and monthly maintenance is optional.
