Sync Digiwin ERP data and get operating reports without copy and paste

Connecting Digiwin ERP to n8n syncs order, inventory and shipping data to Google Sheets, your CRM (customer relationship management system) or LINE alerts, and builds operating reports on a set schedule. TriloAI connects from the outside: through an API if your ERP offers one, otherwise through a read-only database account or a consistent export file, without changing the ERP itself; the exact method is confirmed in a free 30-minute consultation. A single report workflow usually launches in 1–2 weeks, and cross-system sync in 3–6 weeks.

Systems involved

  • Digiwin ERP (for example Workflow ERP GP, T100 or SmartERP)
  • n8n integration tool (cloud or self-hosted)
  • Google Sheets / Looker Studio
  • CRM (for example HubSpot)
  • LINE Official Account

Time to launch

A single workflow, such as a weekly operating report, usually takes 1–2 weeks; cross-system sync of orders, inventory and shipping usually takes 3–6 weeks. Timing depends on the ERP version, how clean the data is and how many approval steps you want.

What runs automatically once connected

Weekly operating report on autopilot

Starts when: Every Monday morning, or a time you choose

  1. 1Read last week's order, shipping and inventory figures from Digiwin ERP
  2. 2Build a Google Sheets or Looker Studio report in the format you use today
  3. 3Flag missing or mismatched rows instead of silently skipping them
  4. 4Send the report link to managers by email or LINE

Result: Nobody has to export, tidy and paste every week, and the report still goes out when that person is away.

Order progress shared with sales

Starts when: A scheduled check for changed orders and delivery notes in the ERP

  1. 1Find orders that changed, such as a new delivery note or a revised due date
  2. 2Update the spreadsheet or CRM your sales team works from
  3. 3Alert the assigned rep by LINE or email about delayed or short-stocked orders

Result: Sales reps stop chasing the warehouse and production team, and see every order's status in one place.

Low-stock alerts

Starts when: A daily inventory check at a set time

  1. 1Read stock levels for each warehouse from the ERP
  2. 2Compare them with the safety stock you set
  3. 3Send purchasing a list of items below the safety level

Result: Someone knows about a shortage before it holds up an order.

Outside orders checked before they reach the ERP

Starts when: A new order arrives from your website, an online store or email

  1. 1Match the order to ERP customer codes and item numbers
  2. 2Put unmatched items or customers on a pending list
  3. 3A sales rep approves the order on the approval list
  4. 4Write it in the way your ERP allows, such as an import file or a write method the ERP offers

Result: The same order is never typed twice, and a person checks it before it reaches the ERP.

What to prepare

  • One contact who knows your order, shipping and inventory process; no engineer required
  • Help from your in-house IT or Digiwin consultant to confirm how data can be accessed
  • One of three access methods: an API the ERP offers, a read-only database account, or a consistent export file such as Excel or CSV
  • A field map showing where customer codes, item numbers, warehouses and order statuses go in the report or other systems
  • The figures you want in reports, ideally with a copy of the report you build by hand today
  • Where n8n will run: its cloud service, or a company server that can reach the ERP (usually the latter when the ERP is only on your internal network)

Good to know first

  • Digiwin offers several ERP products, and versions and customizations differ from company to company. Which method works, and how long it takes, depends on your system.
  • Some data can only be read, not written. Writing back requires the ERP to allow it and the person responsible for the ERP to agree; if not, we stick to reading and reporting.
  • With export files, data is only as fresh as the latest export, not real time.
  • Database access uses a read-only account and never changes ERP tables. Fields may change after an ERP upgrade, so the field map needs to be checked again.
  • LINE alerts require the Messaging API to be enabled on your LINE Official Account, and messages you send count toward your plan's monthly message allowance.

Frequently asked questions

Can Digiwin ERP be connected to n8n?
Usually, yes. If the ERP can be connected from the outside, allows database reads or exports a consistent file, n8n can link it without changing the ERP itself. The method depends on your Digiwin product, version and customizations, and we confirm it together in the free 30-minute consultation.
Will this change our ERP?
No changes are made to the ERP itself. Data is read through a read-only account or export files, and actions that write back, such as creating an order, can be set to wait for someone's approval. Every action is logged.
Should we check with our Digiwin consultant first?
We recommend involving them. Creating a read-only database account and confirming what can be written back usually needs approval and help from your in-house IT or Digiwin consultant. We prepare the questions so you can simply forward them.
What can the reports look like?
A Google Sheets table or a Looker Studio dashboard, following the format you build by hand today. Reports refresh on schedule, and missing or mismatched data is flagged separately.
What happens if a sync fails?
Key workflows retry automatically. If one still fails, the owner gets an email, LINE or Slack alert, and the failed record stays on a pending list so it can be fixed and rerun instead of disappearing.
How long does it take to launch?
A single workflow, such as a weekly operating report, usually takes 1–2 weeks. Cross-system sync of orders, inventory and shipping usually takes 3–6 weeks. Timing depends on the ERP version, how clean the data is and how many approval steps you want.
