Integration

Send Google Forms leads straight to your CRM without exporting files

Connecting Google Forms to a CRM means every form response becomes a lead in HubSpot, Pipedrive or Zoho CRM, checked for duplicates first, then assigned to a rep who gets an alert. TriloAI uses n8n to read the Google Sheet linked to the form and write to the CRM, and incomplete responses go to a review list. A single workflow usually launches in 1–2 weeks; several forms or systems together usually take 3–6 weeks.

Systems involved

  • Google Forms
  • Google Sheets (where responses are stored)
  • HubSpot, Pipedrive or Zoho CRM
  • n8n integration tool (cloud or self-hosted)
  • Email or Slack (rep alerts)

Time to launch

One form connected to one CRM usually launches in 1–2 weeks. Several forms, more than one system or more complex assignment rules count as cross-system integration and usually take 3–6 weeks.

What runs automatically once connected

Create a lead when a form is submitted

Starts when: Someone completes and submits a Google Form

  1. 1The response is saved to the Google Sheet linked to the form
  2. 2n8n picks up the new row on a schedule
  3. 3Clean up the format, such as phone numbers and company names
  4. 4Create the lead in the CRM, noting which form it came from and when

Result: Reps no longer export form files and paste them into the CRM one by one.

Check for duplicates before saving

Starts when: A new lead is about to be written to the CRM

  1. 1Look for the same person by email or mobile number
  2. 2If found, update the existing record with the new answers
  3. 3If not, create a new one
  4. 4Records that look similar but don't match go to a review list

Result: Someone who fills in the form twice stays on one record, so two reps don't contact the same person.

Assign and alert by your rules

Starts when: A lead is created or updated

  1. 1Pick the owner based on the product, region or need chosen on the form
  2. 2Set the owner in the CRM
  3. 3Alert that rep by email or Slack with the form answers

Result: Every lead has an owner as soon as it arrives, with no daily manual sorting.

Hold incomplete responses for review

Starts when: A response is missing required details or looks malformed

  1. 1Flag what is missing, such as no phone number or an invalid email
  2. 2Put it on the review list and alert the person in charge
  3. 3Rerun it once fixed, and only then write it to the CRM

Result: Problem records are neither silently skipped nor saved straight into your live lead list.

What to prepare

  • The Google Form and its linked Google Sheet, with edit access
  • A CRM account with admin access on a plan that allows integrations (some plans don't, and we check first)
  • A map from form questions to CRM fields, such as Your mobile to Phone
  • How to spot duplicates, such as by email or mobile number
  • Assignment rules and who should be alerted

Good to know first

  • n8n has no dedicated Google Forms trigger, so the usual setup reads the linked sheet on a schedule rather than the instant a form is sent; for faster pickup, a small script can be added to the form to notify n8n on submit.
  • If a form question is renamed or removed, the field map must be updated too, or data lands in the wrong field or waits on the pending list; let us know before you change the form.
  • When several forms feed the same CRM, questions for the same data need the same wording and options, such as one question type for phone numbers, or matching becomes unreliable.
  • Duplicate checks rely on email or mobile number; someone who makes a typo or uses a new email may not be recognized and can end up as a second record.
  • Collect only the fields you use and explain on the form how the data will be used. Collection and use must follow Taiwan's Personal Data Protection Act. This is a plain-language summary, not legal advice.

Frequently asked questions

Can Google Forms connect to HubSpot, Pipedrive or Zoho CRM?
Yes, through n8n. n8n has built-in nodes for HubSpot, Pipedrive and Zoho CRM that can search, create and update records, and on the form side it reads the Google Sheet linked to the form. Other CRMs that allow integrations can usually be connected through the system's API.
How soon does a lead reach the CRM?
New responses are usually read on a schedule, and the interval can be set, for example every few minutes. If you need it faster, a small script can be added to the form to notify n8n as soon as it is submitted. The approach depends on how many forms you have and what you need.
If someone fills in the form twice, do we get two leads?
The workflow first checks email or mobile number and updates the existing record if it finds the same person. Records that look similar but don't match go to a review list for a person to decide. Someone who makes a typo or switches email may still not be recognized.
What happens if we change a form question?
The field map no longer matches, so that record may land in the wrong field or wait on the pending list. Tell us before you change questions so we can update the map; if something does fail, the owner is alerted and the record can be rerun once fixed, so nothing is silently lost.
We use Typeform or another form tool. Can that connect too?
We can look at it. Form tools such as Typeform and Tally can usually be connected in a similar way; the difference is how new responses reach n8n. We check your tool during the consultation.
