Integration

Get ad leads into your CRM and in front of a rep right away

Connecting Meta lead ads to a CRM means leads from Facebook and Instagram lead ads are saved automatically to systems such as HubSpot, Pipedrive or Zoho CRM, tagged with the ad and form they came from, and sent to the assigned rep by email, Slack or LINE Official Account. TriloAI uses n8n's built-in Facebook Lead Ads trigger to receive new leads, so nobody has to download files from Meta every day. A single workflow usually launches in 1–2 weeks; more systems or complex assignment rules usually take 3–6 weeks.

Systems involved

  • Meta Lead Ads (Facebook, Instagram)
  • HubSpot, Pipedrive or Zoho CRM
  • n8n integration tool (cloud or self-hosted)
  • Email, Slack or LINE Official Account (rep alerts)

Time to launch

A single workflow that saves leads to one CRM and alerts reps usually launches in 1–2 weeks. More systems, several Facebook Pages or complex assignment rules count as cross-system integration and usually take 3–6 weeks. How long Meta's business verification takes is up to Meta, and it runs in parallel with the build.

What runs automatically once connected

Save new leads automatically

Starts when: Someone submits a lead ad form on Facebook or Instagram

  1. 1Meta sends a new-lead notice and n8n fetches the lead details
  2. 2Clean up the format, such as one style for phone numbers
  3. 3Check the CRM for the same person; update if found, create if not
  4. 4Record the ad, the form and the time submitted

Result: Every ad lead lands in your CRM, and you can see which ad brought it in.

Alert the assigned rep

Starts when: A lead is saved and assigned

  1. 1Pick the owner by product, region or round robin
  2. 2Alert them by email, Slack or LINE Official Account with name, phone and question
  3. 3Retry failed alerts automatically and tell the admin

Result: Reps don't need to watch Meta's dashboard; they know who to call as soon as a lead arrives.

Escalate untouched leads

Starts when: A lead passes the agreed time with no follow-up logged

  1. 1Remind the assigned rep once more
  2. 2Alert a manager if it is still untouched
  3. 3Add it to the overdue list

Result: Someone notices before a lead goes cold, without relying on each rep's memory.

Set aside test and duplicate leads

Starts when: A lead looks like test data or a repeat submission

  1. 1Tag it as test or duplicate using your rules
  2. 2Hold it on the review list without alerting reps
  3. 3A person confirms whether to merge or delete it

Result: Reps aren't distracted by test or duplicate leads, and your live list stays cleaner.

What to prepare

  • Access to the Facebook Page and permission to advertise on the ad account
  • Leads access: if your business restricts who can read leads in Meta's leads access settings, the account used for the connection must be added
  • A Meta developer account and an app with business verification completed and set to live; we can help with the application
  • A CRM account with admin access on a plan that allows integrations
  • The list of questions on your lead forms, mapped to CRM fields
  • Assignment rules, agreed follow-up times and how reps should be alerted

Good to know first

  • Meta's new-lead notices can be delayed by a few minutes, so not every lead arrives the second it is submitted.
  • Lead access is controlled on Meta's side; if the person who authorized it leaves, loses access or the authorization expires, leads stop arriving, so tell us before permissions change.
  • If a lead form's questions change, the field map must change too, or data lands in the wrong fields.
  • To alert reps through a LINE Official Account, each rep must add the account as a friend, and every alert counts toward the monthly message allowance. LINE Notify ended service on March 31, 2025, so it can no longer be used for alerts.
  • Leads contain personal data, so collect and pass on only the fields you use, and include a privacy policy link on the lead form. Collection and use must follow Taiwan's Personal Data Protection Act. This is a plain-language summary, not legal advice.

Frequently asked questions

Can Meta lead ads go into a CRM automatically?
Yes. n8n has a built-in Facebook Lead Ads trigger that is notified of each new lead and fetches its details, then writes them to a CRM such as HubSpot, Pipedrive or Zoho CRM. Other systems that allow integrations can usually be connected through the system's API.
Which Facebook permissions are needed?
The connection has to be authorized by someone who has access to the Facebook Page and can advertise on the ad account. If your business restricts who can read leads in Meta's leads access settings, the account used for the connection must be added too. You also need a Meta developer app with business verification completed, and we can help set it up.
Can reps be alerted on LINE now that LINE Notify has ended?
LINE Notify ended service on March 31, 2025. Reps can add your company's LINE Official Account as a friend and receive alerts from it; these alerts count toward the monthly message allowance, which depends on your plan. Email or Slack alerts don't use your LINE allowance.
Could leads be missed?
Every lead is logged. If writing to the CRM or sending an alert fails, it is retried automatically; if it still fails, the owner is alerted and the lead stays on a pending list to fix and rerun. If the authorization expires or access is removed, though, Meta stops sending leads, so tell us before permissions change.
Are reps alerted about duplicate or test leads?
The workflow first checks email or mobile number and updates the existing record if it finds the same person. Leads that look like tests or duplicates are held on a review list by your rules, without alerting reps, until a person checks them.
