TriloAI

Integration

Save every LINE inquiry to a spreadsheet without copying by hand

Connecting a LINE Official Account to Google Sheets means the inquiries, booking requests and contact details customers leave on LINE are saved automatically as spreadsheet rows, with the source and time recorded. TriloAI links the two through the LINE Messaging API and n8n, so you don't need an engineer. A logging-only workflow usually launches in 1–2 weeks; adding an AI assistant that answers questions and takes bookings on LINE is a standard project of about 4–6 weeks.

Systems involved

  • LINE Official Account (Messaging API)
  • Google Sheets
  • n8n integration tool (cloud or self-hosted)
  • Email or Slack (staff alerts)

Time to launch

A single workflow that saves LINE data to a spreadsheet usually launches in 1–2 weeks. If you also want AI to answer questions and take bookings on LINE, it follows the standard Messaging Automation project of about 4–6 weeks.

What runs automatically once connected

Log new friends

Starts when: A customer adds your LINE Official Account as a friend

  1. 1Receive the follow notice from LINE
  2. 2Record the LINE display name, user ID and time added
  3. 3Write it to the friends tab of the spreadsheet

Result: You can see who joined and when in the sheet instead of scrolling through chats.

Turn inquiries and bookings into rows

Starts when: A customer asks about a service or a time slot on LINE

  1. 1Collect name, phone, service and preferred time in the chat, with set questions or AI
  2. 2Clean up the format, such as one style for phone numbers
  3. 3Add a row marked as pending
  4. 4Alert the staff member in charge by email or Slack

Result: Booking details no longer sit in chat threads, and staff see today's requests in one sheet.

Keep one record per customer

Starts when: A customer already in the sheet sends a new inquiry

  1. 1Find the existing row by LINE user ID
  2. 2Add the new inquiry and its time
  3. 3For a new booking, add a separate row linked to that customer

Result: Each customer's history stays together, so whoever takes over can see past questions.

Notify the customer after staff confirm

Starts when: Staff change a booking's status to confirmed in the sheet

  1. 1n8n checks the sheet on a schedule for changed rows
  2. 2Send a confirmation to that customer on LINE
  3. 3Record the time sent in the same row; failed sends are flagged

Result: Staff decide what gets confirmed, and the system handles telling the customer.

What to prepare

  • An existing LINE Official Account and admin access to it
  • The Messaging API enabled on that account; we can help set it up
  • A Google account and the spreadsheet to use, editable by the account used for the connection
  • A list of the fields to record, such as name, phone, service and preferred time
  • Who handles requests, and whether alerts go by email or Slack

Good to know first

  • Only customers who have added your official account as a friend can receive LINE messages, and messages can't reach people who have blocked it.
  • Messages you send first, such as booking confirmations, count toward the account's monthly message allowance, which depends on your plan; replies to a message the customer just sent do not count.
  • LINE shares only basic details such as the display name, so customers need to give their phone number or email in the chat.
  • A spreadsheet works while volume is small and the process is simple; once several people split the work, assign reps and track progress, a CRM is easier to manage.
  • The sheet holds personal data, so share it only with people who need it and collect only the fields you use. Collection and use must follow Taiwan's Personal Data Protection Act. This is a plain-language summary, not legal advice.

Frequently asked questions

Can LINE Official Account messages be saved to Google Sheets automatically?
Yes. Once the Messaging API is enabled on your LINE Official Account, customer messages and follow notices are sent to n8n, which writes them to Google Sheets using the fields you choose. Which fields and which messages get recorded is set to match your process.
We don't have engineers. Can we still use this?
Yes. TriloAI handles the build, testing and troubleshooting. You provide access to your LINE Official Account and Google account and tell us which fields to record. We also show you how to change simple settings, such as who gets alerts.
Could entries be missed or saved wrong?
Every entry is logged. If a write fails, it is retried automatically; if it still fails, the owner is alerted and the record stays on a pending list so it can be fixed and rerun. Incomplete entries, such as ones without a phone number, are flagged instead of silently skipped.
Do LINE messages to customers count toward our allowance?
Replies to a message the customer just sent do not count. Messages you send first, such as booking confirmations, count toward the account's monthly message allowance. How many messages are free each month depends on your LINE Official Account plan, so check LINE's official plan details.
Is customer data safe in a spreadsheet?
The sheet lives in your own Google account and you control who it is shared with; we suggest sharing it only with staff who handle requests. We collect only the fields the workflow uses and don't send unneeded personal data to AI. Collection and use must follow Taiwan's Personal Data Protection Act. This is a plain-language summary, not legal advice.
Can we move the data to a CRM later?
Yes. Because the sheet uses fixed fields from the start, mapping it to a CRM such as HubSpot later is straightforward. You can also keep saving to both and use the sheet as a backup.
