Integration

LINE appointment reminders with rescheduling and cancellations that update your calendar

Connecting Google Calendar to a LINE Official Account sends customers a LINE reminder before their appointment, lets them confirm, reschedule or cancel with a tap, and updates Google Calendar to match; when your team moves or cancels an appointment in the calendar, the customer is told automatically. TriloAI uses n8n to read and write Google Calendar and sends messages through LINE's Messaging API, only to customers who added your account and linked their LINE account to their booking details. Reminders alone usually launch in 1–2 weeks, and adding linking, rescheduling and cancellations usually takes 3–6 weeks.

Systems involved

  • Google Calendar
  • LINE Official Account (Messaging API)
  • n8n integration tool (cloud or self-hosted)
  • Google Sheets (customer list and send log)

Time to launch

A single reminder workflow usually takes 1–2 weeks; adding linking, rescheduling, cancellations and change notices counts as cross-system integration and usually takes 3–6 weeks. Timing depends on appointment volume, how consistently the calendar is written and how many approval steps you want.

What runs automatically once connected

Reminder the day before

Starts when: A daily check at a set time, such as early evening, for the next day's appointments

  1. 1Read tomorrow's appointments from Google Calendar
  2. 2Find the customer for each one and confirm they have linked LINE
  3. 3Send a LINE reminder with the time, location and confirm, reschedule and cancel buttons
  4. 4List appointments with no linked customer or a failed message for the front desk to call

Result: The front desk stops calling everyone and only handles the few appointments on the list.

Rescheduling in LINE

Starts when: A customer taps reschedule in the reminder

  1. 1Check Google Calendar for open slots
  2. 2Offer the customer a few slots to choose from
  3. 3Move the appointment by your rules, or ask the front desk to approve first
  4. 4Update the calendar and confirm the new time to the customer

Result: Rescheduling takes one short exchange, and the calendar matches what the customer was told.

Cancellations in LINE

Starts when: A customer taps cancel in the reminder

  1. 1Confirm with the customer which appointment to cancel
  2. 2Apply your cancellation rules, such as passing late cancellations to the front desk
  3. 3Cancel or mark the event in the calendar and notify the staff member involved

Result: Freed-up slots show right away and can be offered to other customers.

Customer told when you change or cancel

Starts when: A team member changes or cancels an appointment in Google Calendar

  1. 1n8n detects the updated or cancelled event
  2. 2Find the customer for that appointment
  3. 3Send a LINE message with the new time, or a cancellation notice with a way to rebook

Result: Updating the calendar is the same as telling the customer, so nothing gets missed.

What to prepare

  • The Google Calendar that holds your appointments and a Google account with edit access (a company account rather than a personal one)
  • Admin access to your LINE Official Account with the Messaging API enabled
  • A consistent way of writing appointments, with the customer's name, phone or booking number in the title or description so the system can tell who it is
  • A way for customers to link LINE: bookings made in LINE are recorded automatically, and phone or walk-in customers add your account and enter their phone number
  • Your rules: when reminders go out, how late customers can reschedule or cancel, and which cases need the front desk
  • The wording for reminder messages

Good to know first

  • Only customers who added your account and finished linking get LINE reminders; others are reminded the way you do it today.
  • Reminders you send count toward your LINE Official Account plan's monthly message allowance; immediate replies to customer messages do not. With many appointments, check your plan first.
  • Appointments must be written consistently. Ones with missing details, where the customer can't be identified, are listed for a person to handle instead of being messaged.
  • Customers who block your Official Account no longer receive reminders.
  • If appointments live in a separate booking system, that system needs to be connected instead, and the method and timeline are assessed separately.

Frequently asked questions

Doesn't Google Calendar already send reminders?
Google Calendar reminders are mainly for the people who use that calendar. Your customers may not use Google Calendar or read email often; a LINE reminder lets them confirm, reschedule or cancel in the same chat.
Do customers have to add us on LINE?
Yes. Only after a customer adds your Official Account or sends it a message does the system get the LINE account ID needed to message them; that account is then matched to their booking so reminders can reach them. Customers can unlink at any time.
Could a rescheduled appointment clash with someone else's?
Rescheduling checks Google Calendar for open time first and only offers free slots. If you want the front desk to approve every change, the calendar can be set to update only after someone approves.
Will reminders use up a lot of our message allowance?
Reminders you send count toward your LINE Official Account plan's monthly allowance, while immediate replies to customer messages do not. We estimate your monthly volume from your appointment numbers and suggest a suitable plan; LINE's official site has the current plan details.
Can this work with a booking system other than Google Calendar?
We can look at it. If the booking system can be connected from the outside or can export appointment data, LINE reminders can usually work the same way, and we confirm the method in the free 30-minute consultation.
How long does it take to launch?
Reminders alone usually take 1–2 weeks. Adding linking, rescheduling, cancellations and change notices usually takes 3–6 weeks. Timing depends on appointment volume, how consistently the calendar is written and how many approval steps you want.
